Last updated October 31, 2026. Roadcase is a Shopify app made by Music City Labs ("we"). This page explains what Roadcase reads from your store, why, and how long it keeps it.

What we read from your store

When you install Roadcase you let it read your orders, fulfillments and tracking, products (for photos and shipping weights) and shipping reports. From each order we keep: the order number, tags, dates, totals, shipping charged, the carrier, tracking number and tracking events, the destination state and the first three digits of the ZIP code, the package weight, and the shopper's email address and first name.

Your mailbox, if you connect one

If you choose to send shipping emails from your own Gmail, Google Workspace, Outlook or Microsoft 365 mailbox, Roadcase asks only for permission to send email on your behalf (and to read your address, to show which mailbox is connected). It cannot read, search or delete your email. If you use another provider, Roadcase stores your mail server sign-in to send with it. Tokens and passwords are encrypted, used only to send the shipping emails you set up, and deleted when you disconnect or uninstall. Roadcase's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

The tracking page

The tracking page on your store shows a package's status, dates, carrier and tracking history to someone who has the link from a Roadcase email, or who enters the order number with the email used at checkout. It never shows a name or address.

Benchmarks and the badge

Roadcase compares a store's on-time rate with an anonymous average of other Roadcase stores, shown only when at least three stores are in the average so no single store can be picked out. If a store earns Roadcase Approved and chooses to show it, its public page shows its store name and shipping averages (on-time rate, days to ship, days in transit), never any order or customer.

Why

We use the shopper's email address and first name only to send that shopper emails about their package on your behalf (for example, that it's running late), when you turn those emails on. We use the rest to find late or stuck packages and to work out your shipping score, carrier scorecard and costs. We never sell data, never use it for advertising, and never use shopper data to contact shoppers about anything else.

How we protect it

Shopper email addresses and names are encrypted at rest (AES-256). Every time Roadcase reads them, it records who read them and why. Only the app itself and, when you ask for support, the Music City Labs team can reach your data. Data is stored on servers in the United States run by Fly.io. Emails are sent through Resend, or through the mailbox you connect. The in-app help assistant uses Anthropic's Claude and is only sent what you type and your store name and plan, never shopper data.

How long we keep it

Shopper email addresses and names are deleted 90 days after a package is delivered (or 150 days after the order, if it never is). When you uninstall Roadcase we stop all emails and delete shopper data right away, and delete everything else for your store 48 hours later, when Shopify tells us to. A shopper can ask you to erase their data; Shopify passes that request to us and we erase it.

Shoppers' rights

Shoppers can ask the store they bought from for a copy of their data or to have it erased, and the store's request reaches us through Shopify. Shoppers can also write to us at roadcase@musiccitylabs.co.
